The Opportunity

The Executive Assistant provides proactive, organized administrative support to the Managing Director and leadership team. The Executive Assistant will play a key role in the business through management meeting cycle/calendar ownership, coordinating key guest travel, and supporting the culture through management of office services.

Key Account Responsibilities and Functions

Administrative Support to the Managing Director and Leadership Team

  • Manage calendar, schedule and book appointments liaising with internal and external contacts for the Managing Director
  • Arrange travel and accommodation for all travel in an efficient manner for leadership team
  • Track, process, and code expenses and invoices for leadership team
  • Prepare, track and meet fiscal budgets
  • Liaise with Executive Assistants across the business
  • Prepare reports, presentations, correspondence
  • Review and distribute mail and courier packages
  • Host and liaise with visitors
  • Filing and general administrative duties including taking meeting notes
  • Prepare and edit executive-level PowerPoint presentations
  • Executive support for other members of the senior leadership team

Team Calendar Scheduling and Meeting Routine Ownership

  • Coordinate and manage all planning meetings and regular review meetings including weekly and monthly management meetings and Town Hall events
  • Prepare for meetings and events including arranging catering, preparing materials and scheduling people, locations and resources
  • Research and plan events/off-site meetings

Office Services

  • Manage shipping and receiving for the Office
  • Manage office supplies within budget, including tracking and coding expenses and invoices for office-related expenses
  • Administer office and desk assignments, floor plans and furniture inventory
  • Coordinate resolution of day to day issues
  • Reception desk vacation coverage
  • Cultural ambassador for the office

Required Skills and Qualifications

  • 5+ years of Administrative Support, 3+ years supporting a senior executive
  • Experience interacting with high profile executives and dignitaries
  • Experience coordinating multi-day events
  • Experience coordinating and hosting group travel
  • Hospitality experience preferred
  • Related administrative diploma or degree program
  • Understands the fundamentals of business and able to create processes and procedures to manage information, people, projects etc. as required
  • Ability to work effectively with other Executive Assistants
  • Ability to effectively prioritize, multi-talk and meet deadlines
  • Attention to detail
  • Excellent communication skills
  • Able to deal with confidential information
  • Exceptional/advanced Outlook skills; advanced computer skills in PowerPoint, Excel, MS Office, MS Visio
  • Available evenings/weekends as necessary during heavy workload

Compensation and Benefits

  • $80,000 – $100,000
