The Opportunity

We are looking for a strong Office Manager to handle all the accounting, Payroll and Administration needs for our innovative and growing client on Edmonton’s south side.
Key Account Responsibilities and Functions

  • Manage the client onboarding processes, client records, client contracts
  • Provide admin and customer service related duties to our clients
  • Provide event planning and scheduling
  • Provide follow-ups after service work is complete when technicians are swamped
  • Create, assist, and deliver quotes to end-users when the sales team is swamped
  • Create, assist, deliver, and analyze client surveys
  • Proof and edit outbound communications to our clients and the public
  • Create a variety of outbound communications to our clients and the public
  • Promote personal and long-lasting relationships with our clients
  • Escalate complaints or emergencies to applicable senior management as needed.
  • Track and report performance metrics
  • Ensure technicians are submitting required information on time (eg. Timecards, credit card statements, receipts)
  • Manage holiday calendar
  • Manage boardroom and collaborative space reservations
  • Ensure technicians are completing IT & Support Plan assessments on-time (contract management)
  • Take and publish meeting notes
  • Manage Accounts Receivable including:
      1. Collections
      2. Weekly AR report for owners
      3. Process customer payments, credit card, cheque, EFT
      4. Process auto debits as required
  • Manage travel and accommodations for the full team
  • Manage product procurement and receiving.
  • Manage product returns (RMA) and credits from the supplier
  • Manage product rebates, deal registration, points, and reimbursements from the vendors
  • Manage shipping (couriers, FedEx, Purolator, etc.) and ensure chargeback
  • Manage office supplies and consumables
  • Generate and send invoices to customers as soon as tickets are closed, and/or at month end.
  • Print AP invoices, attach packing slips, update/close purchase orders, get approval, and post into QuickBooks.
  • Maintain HR related tasks including documentation, scheduling, tracking, and filing
  • Scheduling and appointments for owners
  • Monthly financial statements and reports for owners
  • Anything that can help the owners focus on growing the company and stay attentive


Required Skills and Qualifications

  • 4-6 years of professional administrative experience, with increasing responsibility.
  • 2-4 years of professional experience using Microsoft Word, Excel, Outlook, PowerPoint, Publisher, and the latest version of Windows.
  • 2+ years of experience with bookkeeping, invoicing in particular. QuickBooks experience is an asset.


Compensation and Benefits

  • Salary is $45,000 to $60,000 per year, with a comprehensive benefits package.
