Project Administrator- Full-time, Permanent role

The Opportunity

Our client in the mechanical construction industry is seeking Project Administrators to join their team on a full-time, permanent basis. They are one of the leading and largest mechanical contractors in Canada. They are looking for a highly organized; detail oriented and experienced Project Administrators to join their team. They will be responsible for supporting the Project Manager and Project Delivery Team in managing projects. The projects would be managed from the planning stage, through execution and final completion.

Key Account Responsibilities and Functions

  • Assist project managers in obtaining drawings from manufacturers, suppliers and subcontractors
  • Prepare and log drawings for general contractors and engineers
  • Prepare O & M manuals from obtaining information from suppliers, manufacturers and subcontractors
  • Input budget into Timberline and set up prime contract
  • Set up purchase orders for manufacturers, suppliers and subcontractors
  • Enter change orders and distribution of change notices to subcontractors and suppliers
  • Preparation of monthly cost reports for Project Managers
  • Prepare monthly update of work in progress forecast sheets
  • Update construction schedule
  • Copy and distribute drawings and change order
  • Manage the project deficiency punch list process
  • File contract documents and achieve old projects
  • Complete monthly invoices and issue to customers
  • Prepare and manage project specific quality control forms
  • Organize and obtain drawings from clients for distribution to sub-contractors
  • Scan drawings from client for distribution to sub-contractors
  • Track and update project schedules
  • Provide administrative support to project manager, project team and site superintendents
  • Attend site meetings and visit job sites
  • Participate in operational meetings such as Project Delivery meetings, staff meetings Project Status review meetings
  • Participate in training seminars and courses
  • Work with safety specialist to maintain project safety records

Required Skills and Qualifications

  • Previous administrative experience in the construction industry
  • Advanced level of knowledge of Microsoft Office
  • Understanding of Mechanical trades
  • Previous experience with project management software is an asset
  • Ability to understand construction plans is an asset
  • Excellent communication, both verbal and written
  • Ability to develop relationships both internally and externally
  • Deadline driven and ability to work in a fast-paced environment
  • Driver’s license to travel to various job sites

Compensation and Benefits

  • $40,000 to $50,000 DOE
