The Opportunity

Our client in Downtown Calgary is currently seeking an experienced Surface Land Administrator to help assist their team for a 6 month contract.
Key Account Responsibilities and Functions

New Projects

  • Participate in project planning to organize administrative activities and workflow to ensure regulatory compliance to meet or exceed project goals for Surface requirements.
  • Communicate and coordinate with land brokers, surveyors and other department personnel with respect to the needs and requirements of active projects.
  • Track and process the documentation necessary for the successful acquisition or amendment of surface rights for surveying, pipelining and construction operations.
  • Prepare and update status reports for each ongoing project ensuring accuracy and effective communication of project progress.

Surface Agreements

  • Analyze surface land agreements and leases.
  • Audit land packages from the broker to ensure regulations and other obligations are met.
  • Set up and maintain files associated with specific projects.
  • Scanning of the surface agreements and related correspondence.
  • Review and process the monthly Surface Rentals; including the scanning and filing of the related documents and cheques.
  • Research and process surface land related invoices.
  • Review and process monthly expiry and obligation reports; including updating land system appropriately.
  • Preparation and registration of on-line Crown Surface Lease Assignments
  • Respond to internal and external inquiries.
  • Request and process Land Standing Reports.
  • Ensure rent review and damage settlements are completed with landowners.
  • Review and distribute industry notifications (D56).
  • Scanning and filing of all documents and correspondence.
  • Create, review and process surface land assignments and assignment notifications for freehold owners.
  • Prepare, execute and file land title registrations ensuring acute attention to detail.
  • Follow industry trends and regulation changes.

Road Use, Crossings and Consents

  • Prepare Road Use Agreements and Third Party Agreements in Pandell and process through to completion.
  • Input the Take Road Use Agreements and Third Party Agreements into Pandell.
  • Run and process the monthly Road Use Invoices.
  • Research and process Take Road Use invoices.
  • Review and update records as to any Road Use Invoices returned or partially paid; including any necessary credits that need to be issued.
  • Respond to internal and external inquiries.
  • Scanning and filing of the related documents for the Let and Take Road Use and Third Party Agreements and Road Use invoicing process.
  • Amend Agreements based on Amalgamation, Name Changes and address changes; including preparing the associated forms for Accounting.
  • Set up new Road Use Agreements for the sale of properties to another party; including the processing of the final invoicing for the original party.
  • Distribution of Road Bans and closure notifications.

Required Skills and Qualifications

  • 7 – 10 years of experience in a similar role

Compensation and Benefits

  • $45 – $50 per hour
